How to run a great meeting

How to Run an Efficient Meeting That Makes Your Prospects Love You

We've all been there — caught in the endless cycle of pre-meetings, post-meetings, and meetings to plan...other meetings. It can feel like a never-ending loop ♻️.

Your customers feel this too. The last thing they want is yet another time-consuming meeting clogging up their calendar. 🥱

But Meetings Can Be Valuable... When Done Right 💪

Meetings offer a rare chance for face-to-face (or virtual) conversations, free from distractions, with everyone focused on the task at hand. But here’s the catch... 👀

Despite their potential, a lack of preparation and direction often turns meetings into wasted time discussing topics like whether AI will take over the world or if Man City will be punished before that happens. 🤦‍♂️

The Solution? Two Simple Rules:

  1. Have an agenda.

  2. Stick to it.

...not hard, right? But highly effective.

Why an Agenda Matters 🗒️ If you share an agenda at least an hour before the meeting, you’ll ensure:

✅ All necessary topics are covered.
✅ No surprises for you or your attendees.
✅ Efficient use of everyone’s time.
✅ Note-taking and follow-up actions are seamless.

Skipping the agenda can result in:

❌ Important points being missed.
❌ Confusion about the meeting’s goals.
❌ Poor time management and unachieved objectives.
❌ Critical information being lost — wasting your time and your prospect’s.

The Perfect Meeting Agenda Template ✨ Here’s what I never leave out:

⛳️ The Meeting's Objective: A clear statement of what the meeting aims to achieve.
Key Questions You Plan to Ask: Prepare questions in advance to guide the conversation.
🤫 Time for Them to Ask Questions: Give space for the other party to raise their own points.
📈 Information to Present: Cover key data, updates, or insights you need to share.
👍 Any Other Business (AOB): A brief section for unexpected but relevant topics.

The Key Takeaway? 🤔 Run an efficient meeting and respect your prospect’s time. Keep it focused, well-prepared, and purposeful. It’s simple — it makes you look good, shows professionalism, and your prospects will LOVE you for it. 😍
